Leo Duncan trading as LTHP Payment & Booking Policy

At Leo Duncan trading as LTHP (hereinafter referred to as 'LTHP'), my commitment is to provide you with outstanding photography services and a seamless experience. Please review the following policy related to my services for clarity and transparency in our working relationship.

Booking Fee:​

The Client agrees to pay a non-refundable booking fee equal to 25% of the total photography service cost upon signing the contract, serving as a commitment to secure the photography services for the agreed-upon date. Additionally, expenses such as travel, meals, and any needed equipment hire/purchase must be paid in full immediately unless otherwise specified in writing by both parties..

Session Price Adjustments:

The total cost may undergo changes in the event of unexpected expenses or alterations to the project scope. Any such expenses or changes will be promptly communicated and mutually agreed upon in writing.

Final Invoice:

Upon completion of my services, a final invoice will be issued, deducting the booking fee from the total balance. Payment for the remaining balance must be settled within 14 days of the invoice date, no later than 5pm. The non-refundable booking fee covers the reservation of the date and necessary resources. In the event of cancellation, the booking fee is non-refundable. Low-resolution proof photos will be provided until the balance is cleared, at which point full-resolution photographs will be delivered.

Late Payment Policy:

In the event that the Client fails to make a timely payment as stipulated in the agreed-upon terms of the contract, a late fee charge of £100.00 will be incurred. If the payment remains outstanding for a period of 7 days following the original due date, an additional late interest fee of 1% per day will be applied to the unpaid amount and will be reflected in the updated invoice. The late interest fee will continue to accrue until the full payment is received.

Booking Fee and Cancellation:

The booking fee functions as the means by which the Photographer reserves the specified date for the Client's project. In cases of cancellation by the Client, the booking fee will be regarded as liquidated damages and consequently forfeited. Please view my cancellation policy for more information.

Travel Expenses:

Travel expenses associated with each photography session are included within the agreed-upon cost for a 25-mile round trip from the Photographer's location to the designated photography site. Any additional mileage exceeding this distance will be charged at a rate of £0.45 per mile. In the event that transportation via train, bus or air travel is necessary for the session, the complete expense must be covered by the Client.

Other Expenses: 

The Client acknowledges and agrees to be responsible for any necessary accommodation costs, reasonable meal expenses, and any other reasonable expenses incurred by the Photographer in direct relation to the execution of the photography session, including but not limited to transportation, parking fees, ULEZ charges and location-specific fees. These expenses should be paid immediately to the photographer upon receipt of the corresponding invoices or expense documentation. The Client undertakes to promptly reimburse the Photographer for all such documented incurred expenses. Any expenses incurred on the session date will be added to a new invoice and will be due upon receipt.
